MEMBERSHIP SERVICE COORDINATOR

Under the direction of the Senior Director of Membership, the Membership Administration and Service Coordinator assists with management, direction and coordination of the Membership Service Department. This position is responsible for member engagement, member retention, sales growth, facility safety and oversees all desk service operations. The Membership Administration Service Coordinator assures premier member service in accordance with the YMCA mission, strategic plan, goals and all policies and procedures of the YMCA of Dane County, Inc. and the YUSA Best Practices.

POSITIONS SUPERVISED:

ESSENTIAL FUNCTIONS:

  • Expands membership through high quality member engagement and sales initiatives with a focus on community needs in accordance with strategic and operating plans.
  • Increases member retention by demonstrating and training others to provide personalized member experiences and to build positive relationships with and among members, staff, volunteers and/or guests.  Creates a supportive, uplifting community environment.
  • Demonstrates and trains others to provide consistent excellence in sales presentations, closing techniques, telephone and in-person service, member engagement. Membership and program sales meet the needs of each member or guest and connect them to the Y’s cause.
  • Recruits, hires, trains, manages, provides guidance to, develops, coaches, schedules and directs employees and volunteers as needed. Reviews and evaluates employee and volunteer performance. Develops strategies to motivate employees and achieve goals.
  • Assists in ensuring Membership Department operates within budget and follows budgeting policies and procedures.
  • Assists in the marketing and distribution of YMCA membership and program information.
  • Performs Manager on Duty responsibilities when scheduled or as needed. Manages emergencies, unusual circumstances and member discipline. Completes building rounds and assists with maintenance as needed inside and outside the facility. Completes proper report forms and communicates all incidents requiring disciplinary action to Senior Membership Director.
  • Supports, participates and promotes employee, volunteer and member engagement in the Annual Campaign and other fundraising activities.
  • Actively participates and/or serves in a leadership role for identified Association and Branch activities and special events.
  • Acts as a positive role model while implementing YMCA healthy living policies, character development and the four core values of Caring, Honesty, Respect and Responsibility.
  • Follows all policies and procedures as set forth in the YMCA of Dane County Employee Handbook and Code of Conduct.
  • Performs other duties as requested.

Qualifications:

  • Must be at least 18 years of age.

  • Bachelor's degree in related field preferred.
  • One to two years service experience required.
  • At least one year related experience in administration and providing guidance to employees and/or volunteers is required.
  • Requires strong organizational skills and the ability to manage multiple tasks while maintaining an attention to detail and timeliness.
  • Requires ability to professionally and effectively communicate with members, staff and supervisors; maintain confidentiality and exchange accurate information.
  • Working knowledge of Microsoft Office and Outlook required. Working knowledge of Google Docs preferred.
  • Must demonstrate initiative, strong leadership skills, and have the ability to provide guidance to staff with a variety of educational and experiential backgrounds.
  • Must possess reliable transportation for travel when required.

 

  • Possess or obtain within the indicated time frame the following certifications and keep all certifications current:

    • CPR/AED and First Aid required within 30 days of hire.
    • YOrientation, Child Abuse Prevention, Blood Borne Pathogen and Sales and Service training required within 60 days of hire.

KIDS ZONE STAFF COORDINATOR

 

West - Part Time -  Must be flexible, hours will vary.

Under the direction of the Membership Coordinator, the Kids Zone Lead Staff will perform designated administrative tasks, provide guidance to Kids Zone Staff and provide safe and engaging quality child care. This includes acting as a positive role model for children, parents and other staff, while implementing age appropriate activities in Kids Zone. The function of this position is to be accomplished in accordance with the mission, strategic plan, goals and all policies and procedures of the YMCA of Dane County, Inc.

ESSENTIAL FUNCTIONS:

  • Facilitates socialization, participation and interaction of all children through active involvement in safe, fun and developmentally appropriate activities; provides adaptations based on individual needs and utilizes positive behavior guidance techniques with children.

  • Assists the Membership Coordinator with administrative tasks including, but not limited to securing substitutes as needed, maintaining inventory, making copies, preparing meeting materials and following up with members.
  • Maintains accountability of all assigned children at all times by accurately documenting attendance through the check-in process; and performing accountability checks regularly throughout shift.
  • Ensures the safety of children in Kids Zone. Knows/reviews all safety rules and emergency procedures and responds to emergency situations immediately in accordance with YMCA policies and procedures. Completes related reports as required.
  • Builds positive relationships with and among staff, volunteers and/or members and creates a supportive community environment, assists in recruiting and engaging new staff, volunteers and or members and connects members/volunteers/staff to the YMCA’s cause.
  • Provides hands on training and guidance to Kids Zone staff.  Provides leadership to Kids Zone in the absence of the Membership Coordinator.
  • Communicates clearly and professionally with youth, families, supervisor, co-workers and members as needed. shares staff and Kids Zone issues and concerns with the Membership Coordinator in a timely manner; assists with communication of important Branch, Association and Kids Zone information to Kids Zone Staff.
  • Respects the confidentiality of all children, volunteers and staff at all times.
  • Maintains an organized, healthy and safe environment by returning all supplies and equipment to its appropriate place; keeping toys, games and other supplies clean and organized for easy access.
  • Attends all mandatory staff meetings and all required YMCA staff trainings.
  • Works assigned shifts, arranging coverage if unable to work. Obtains advance approval from supervisor for all time off.  
  • Supports and participates in the Annual Campaign; and promotes member participation.
  • Follows program rules, YMCA policies and the YMCA Code of Conduct.

FAMILY PRIME TIME STAFF

East / Northeast / West

Under the direction of the member service coordinator, the Family Prime Time Staff will provide a safe and engaging activities in a family drop-in environment.  This includes acting as a positive role model for children, parents and other staff, while implementing age appropriate activities during Family Prime Time.  The function of this position is to be accomplished in accordance with the policies and procedures of the YMCA of Dane County.

 

POSITIONS SUPERVISED:  

No supervisory responsibilities.

 

Essential Functions:

  • Sets up, monitors and takes down Family Prime Time equipment used for drop in family programming.
  • Facilitates socialization, participation and interaction of all children through active involvement in safe, fun and developmentally appropriate activities; provides adaptations based on individual needs and utilizes positive behavior guidance techniques with children.
  • Builds relationships; makes an effort to connect with health seekers of all ages; focusing on engaging members as whole persons and providing a personalized member experience in a supportive, uplifting environment.
  • Ensures the safety of children by monitoring access to gym/Family Prime Time program to ensure all individuals present have a valid need or reason to be in the area.
  • Maintains accountability of all children at all times and performs accountability checks regularly throughout shift.
  • Respects the confidentiality of all children, volunteers and staff at all times.
  • Maintains an organized, healthy and safe environment by returning all supplies and equipment to its appropriate place; keeping equipment clean and organized for easy access.
  • Knows and understands Family Prime Time policies and emergency procedures; is able to clearly explain said information to members.
  • Attends all mandatory staff meetings and all required YMCA staff training.
  • Arrives 10 minutes prior to shift start time prepared with a positive attitude, appropriate attire and greets members.     
  • Works assigned shifts, arranging coverage if unable to work.  Obtains advance approval from supervisor for all time off.
  • Takes the necessary precautions to prevent accidents, and reports any concerns to supervisor.
  • Communicates clearly and professionally with youth, families, supervisor, co-workers and members as needed.
  • Supports and participates in the Community Support Campaign; and promotes member participation.
  • Follows program rules, YMCA policies and the YMCA Code of Conduct.
  • Acts as a positive role model while implementing YMCA healthy living policies, character development and the four core values of Caring, Honesty, Respect and Responsibility.
  • Promotes YMCA programs, events and activities.

  • Computer and data entry skills and knowledge and experience with Microsoft Word and Excel preferred.

  • Requires strong organizational skills and the ability to manage multiple tasks while maintaining an attention to detail and timeliness.

  • Requires ability to professionally and effectively communicate with members, staff and supervisors; maintain confidentiality and exchange accurate information.

  • Familiarity with basic office equipment, including copy machines, and computer equipment preferred.

  • Possess or obtain within the indicated time frame the following certifications and keep all certifications current:

    • CPR/AED and First Aid required within 30 days of hire.

Youth & Family Counselor

East / Northeast / West

Youth & Family Program Counselor provides a positive role model to youth in YMCA youth programming  by developing and implementing age appropriate activities, carrying out all aspects of  their responsibilities, and effectively communicating the daily activities to all those involved with the youth programming. The function of this position is to be accomplished in accordance with the policies and procedures of the YMCA of Dane County, Inc.

POSITIONS SUPERVISED:

None.

DUTIES AND RESPONSIBILITIES:

  • Assists with the development and implementation of developmentally appropriate program curriculum and provides safe and fun instruction based on class description; provides adaptations based on individual needs.

  • Leads activities and supervises an assigned group youth ages 8 – 14.

  • Respects the confidentiality of all children.

  • Ensures and maintains accountability of all youth at all times, whether at the YMCA, on the bus, at a field trip or during transition periods.

  • Facilitates socialization, participation and interaction of all youth; maintaining active involvement with youth at all times.

  • Arrives 10 minutes prior to program time prepared with a positive attitude, appropriate attire, needed equipment: sets-up, greets participants, and takes attendance.

  • Utilizes positive behavior management techniques with youth throughout the day.

  • Implements age appropriate activities.

  • Assumes a lead role in assessing and managing emergency situations, involving and informing the Program Director as situations arise.

  • Performs required equipment and facility safety and cleanliness checks prior to use, takes the necessary precautions to prevent accidents, and reports any concerns to supervisors.

  • Maintains an organized, healthy, and safe environment by returning, all supplies and equipment to its appropriate place; keeping office and storage areas clean and organized for easy access.

  • Supervises and participates in swimming activities with youth during designated swim times.

  • Documents and submits paperwork including but not limited to attendance rosters, accident, incident and behavior reports within the required time frame.

  • Works to maintain the daily schedule.

  • Communicates behavioral expectations and planned activities to youth at the beginning of each week.

  • Communicates clearly and accurately in a positive, professional, and appropriate manner with youth, co-participants, and families.

  • Acts as a positive role model while implementing YMCA healthy living policies, charter development, and following the four core values of Caring, Honesty, Respect, and Responsibility.

  • Follows all program rules, YMCA policies, and the YMCA code of conduct, including specified dress code and attendance policies; in effect serving as a role model to co-workers and participants.

  • Has a minimum of 6 months working with youth.

  • Works entire scheduled shift and manages scheduled work time for coverage of shifts.

  • Attends all mandatory weekly staff meetings and all required trainings.

  • Supports the Community Support Campaign; and promotes member participation.

  • Have a fun positive attitude.

  • Performs other duties as requested.

Qualifications:

  • Ability to work independently with minimal supervision and as part of a team with other counselors.

  • Exhibits the core values of Caring, Honesty, Respect and Responsibility in all aspects of their work.

  • Ability and willingness to work with youth that have special needs and/or challenging behaviors.

  • Must be able to swim confidently.

  • Must complete Background Check and Fingerprinting prior to working with youth.

  • Current CPR for the Professional Rescuer with AED Certification or obtain within 30 days from date of hire:

    • Possess current First Aid Certification or obtain within 30 days from date of hire

    • Must be at least 18 years of age

    • Means of reliable transportation

    • CAP and BBP
